Connecting with your customers is made easier with simple task management. Here's a breakdown of how it works:

  • Task creation: Tasks are automatically created when a customer reaches out, whether through phone, email, chat, or other channels.
  • Task assignment: The task is assigned to the right person based on their skills (like tech support or sales).
  • Communication: Once assigned, team members can reply directly to the customer within the app, without switching between different channels.
  • Task updates: Throughout the conversation, team members can update the task or link related tasks. These updates help track the progress and keep communication organized.
  • Task completion: When the issue is resolved or the task is finished, it’s marked as complete.

This system keeps everything in one place, so teams can work together and stay on top of customer communication without any confusion.

In this guide, we explain a few key features to help you get started with task management.

Read tasks at a glance

Tasks shows a list of your tasks. Each task card gives a quick summary, including the task type, due date, title, customer, assignee, skills (if used), tags (if used), and time. Task status is shown with the following colors:

  • Green: Open (not finished)
  • Grey: Closed (finished)
  • Orange: Overdue (past due date)

View customer contact information

View customer contact information easily within your tasks. Tap on a task to expand it, then tap the customer's name to go directly to their contact profile. In the customer's contact profile, you can access the interaction history, send an email, or send a text message.

Understand skills

Skills are used to assign tasks to the right people. Skills typically define departments like accounting or tech support. Each user is assigned skills by the team leader or admin. Tasks are also assigned skills, either automatically (like from a specific mailbox or phone number) or manually by users or admins.

When assigning tasks, Spinoco looks for a match between the task’s required skills and the skills a user has. If there's a match, the task is assigned.

Note: Skill assignments can be updated as roles change. Skills are customizable, so what you see may differ based on your team’s setup.

Filter tasks

By default, your tasks are automatically filtered under Tasks assigned to me, showing only the tasks you need to focus on. If you need to view other tasks, you can adjust the filter to:

  • Completed Today:  Displays all tasks that were completed today.
  • Incomplete Tasks: Shows any tasks that are still incomplete. This is a helpful overview of current activity, especially useful for business owners monitoring progress.
  • Unassigned Tasks: Lists tasks that haven't been assigned to a user yet.

Task summaries and suggested actions

Spinoco’s AI makes it easier to stay on top of your tasks. For chat and call-based tasks, you get a summary highlighting the key details. It also suggests next steps, whether it’s something you need to do or a follow-up for the customer.

  • Task summaries: Get a quick overview of key details without sifting through long conversations.
  • Suggested actions: AI analyzes the task content and recommends actionable steps, saving you time and ensuring nothing gets overlooked.
